1. Automate routine guest messages
Good candidates include booking confirmation, pre-arrival reminders, check-in instructions, checkout reminders, and a simple post-stay thank-you. These messages happen at predictable stages and usually contain repeatable information.

2. Do not automate judgment-heavy guest complaints
A complaint about noise, cleanliness, access failure, a leak, an injury, or a safety concern should not receive a generic response that ignores the details. Automation can acknowledge receipt, but a real person should review the situation and decide what happens next.
3. Automate smart-lock codes when the property supports it

8. Automate low-stock alerts where practical

10. Keep emergency escalation human
A water leak, electrical concern, lockout, suspected gas issue, fire alarm, or urgent safety concern needs a clear escalation plan. Automation can route the alert, but it should not make the final safety decision.
11. Avoid automation chains nobody understands
Every integration adds another point of failure. If a booking triggers a PMS, which triggers a cleaning app, which triggers a lock system, which triggers a guest message, document the chain. The team should know what happens when any link fails.
12. Maintain one source of truth
Decide where calendar, guest, pricing, task, and property data are authoritative. Multiple systems editing the same field can create conflicting information.
